HFA has a number of online tools available to its affiliate publishers through the registered user area of this website. The three major products for publishers through the website are the Publisher's Online Inquiry system (POLI+), Online Licensing Reports, and Online Royalty Statements, and there are also options to view Royalty Compliance Examination schedules and act on shorter-term licensing arrangements.

POLI+ includes features that allow publishers to research their songs in HFA's catalog and review licenses that have been requested and issued. It also has some very important features that expedite transactions and improve workflow: Online License Request Approval, eReturns, and eSong.

Online License Request Approval enables a publisher to search for, display, edit and approve pending license requests online, rather than waiting for paper requests to be mailed and processed. eReturns is a related tool that allows publishers to electronically respond to licenses returned by licensees. eSong enables a publisher to electronically request the addition of a new song or request a change to an existing song. These requests are sent automatically to an HFA agent for verification and processing. eSong requests for 100% owned songs are processed within one business day, and requests for songs with publisher splits are generally processed within three business days.

Online Licensing Reports provide the ability for a publisher to view their song catalog and licensing activities online, as well as provide data download functionality. There are a number of reports available to you in either Adobe PDF and Microsoft Excel formats, including: Download of License Transactions; Reports of License Transactions; Song details for a writer; and Report of songs added or deleted within the last completed calendar month.

Online Royalty Statements provide secure online access to HFA-processed royalty statements in a PDF file format. Useful application features include electronic notes that can be attached to individual statements; the capability to sort or search for statement files; and tools to search inside the statements easily and efficiently. Copies of the statement checks and vouchers are available, as well as the statements themselves.

Authorized users will be able to act on HFA shorter-term licensing arrangements through HFA Online, rather than signing forms and faxing or mailing them back to us. These are the arrangements that HFA offers to our affiliate publishers to facilitate licensing of new digital music offerings, such as ringtones and online music services, on an "opt-in" or "opt-out" basis. Arrangements that are offered after sign up with HFA Online will be able to be viewed and acted upon through the website, and users are able to see the status of these arrangements online as well.

Publishers with HFA Online accounts can view the list of HFA's current or pending royalty examinations under the tab "Royalty Compliance." Please note that this option is only available to publishers with HFA Online accounts.
